Hiring a Student

A student worker must be a current or incoming student at NC State University. Student worker appointments are temporary in nature but may last for the duration of the student’s degree program at NC State University.

Note that students who are high school students or are students at other UNC-System colleges are not considered student workers and must be hired as temporary appointments.

Types of Student Appointments

There are several different types of student appointments within the university system including:

  • Flat Rate Appointments
  • Graduate Assistantships**
  • Provost’s Professional Experience Program (PEP) Appointments*
  • Student Worker (hourly) Appointments
  • Work-Study Appointments

Most students are hired on a student worker (hourly) appointment or graduate assistantship. Please refer to the Student Funding Options Defined document and Student Appointments Matrix for more information.

*PEP and work-study appointments are only allowed for undergraduate students

**Graduate assistantships must be hired through the respective Graduate Services Coordinator

The Importance of Timely Hires

It is imperative that students are hired in a timely manner, regardless of their appointment type. We are federally required to complete an I-9 with each student if (1) this is their first appointment on campus, or (2) they have had +1 day break in service since their last appointment.

Section 1 of the I-9 must be completed by the employee by their start date and Section 2 must be completed with a member of the Office of Human Resources team within 3 business days of the student’s start date.

If we are late completing an I-9 and our office is audited by the federal government, we could be charged $1,000 – $2,000 per late I-9, and the Dean has stated that such charges will be delegated to the departments.

With this in mind, we greatly seek your partnership in encouraging the student to complete their I-9 in a timely manner! Thank you!

Employment Eligibility Conditions

Flat Rates, PEP Students, Student Workers, and Work Study Appointments

Students hired on any of the above-mentioned appointments must meet the following criteria in order to be eligible for their appointment:

  • Be enrolled at least half-time for the current, previous or upcoming semester at NC State University; and,
  • The work they perform must be secondary/incidental to their primary role as a student.

Graduate Assistantships

Graduate assistants must meet the following criteria in order to be eligible for the Graduate Student Support Plan:

  • Have an active, qualifying graduate appointment (excludes Graduate Services Assistantships) with a minimum stipend of at least $8,000 annualized;
    • Note that the appointment must begin on or before Census Day and extend at least 10 business days beyond the first day of classes.
  • Remain active in an on-campus master’s or doctoral program. Distance education and graduate certificate programs are not eligible for GSSP;
  • Remain enrolled full-time for all academic semesters; and,
  • Be within the allowed semesters to be eligible for GSSP tuition benefits.

Student Work Limitations

U.S. Citizens & Permanent Residents

U.S. citizens and permanent residents are limited to working only certain hours/week during the academic year based on their student career status.

  • Undergraduates: Limited to 20 hours/week for all appointments across campus
  • Graduates: Limited to 29 hours/week for all appointments across campus

During the summer, both undergraduates and graduates are allowed to work up to 40 hours/week as long as they are not enrolled in classes.

Foreign Nationals

Foreign nationals are limited to 20 hours/week for all appointments across campus during the academic year.

During the summer, as long as the foreign national student is not enrolled in classes and/or graduating, they can work up to 40 hours/week.

NOTE! Please have your foreign national check with the Office of International Services if this is their first appointment on campus as some visa types require written authorization for students prior to engaging in on-campus and off-campus employment.
